Service Toolz has a pay-for-what-you-need pricing structure, allowing you to only pay for the features you use. Below is a list of those features and descriptions for each. These prices get added onto the base price from above to determine the monthly cost.
Managing a calendar is one of the most tedious aspects of everyone's day. Ted from accounting forgot his own birthday last year because it didn't end up on his calendar for some reason. Our scheduler module works along-side a Google Calendar for reliability and ease-of-use, and allows you to set arrival windows for work order schedules and assign technicians to each schedule. As a bonus, an "on-call" feature gives you the option to schedule a work order without a time-slot in case someone in the field can get squeeze it in during their day. Technicians will have a "Today's Appointments" list to work from which includes on-call appointments. This is one of our most dynamic development projects, which gets improvements and feature updates regularly.
"Brad, I thought you were going to follow up with that customer!" Sound familiar? This module can help keep tasks relevant and delegated properly. Get automated task reminders for things like accepted or rejected quote follow-ups, phone call returns, project follow-ups, etc. Any user can assign a task for one or multiple users with optional due dates, repeat options, alerts, email notifications, work-order/quote associations, customer associations, etc.
As one of the most ubiquitous financial systems out there, we found it extremely important to integrate with it. Service Toolz will automatically sync customers, invoices, credit memos and payments to QuickBooks Online. Credits and payments over multiple work-order/change-orders are automatically applied, credit memos and refunds are applied in a snap without you having to Google anything, and two-way communications between Service Toolz and QuickBooks ensures your data is always up-to-date. Here's a little secret, too... actually, tell everyone because this is amazing... with the help of the Automatic Sales Tax Calculations module, Service Toolz can print out a list of taxable sales per tax jurisdiction in your area! Other future enhancements are also in the works!
If you're using Wave for your accounting software, we have a module for you, too! This integration allows Service Toolz to sync contacts, invoices and sales tax jurisdictions to Wave, saving you a lot of double-entry problems. Unfortunately, that's where the integration stops. Wave does not allow 3rd parties to sync payment information, and they don't offer a two-way syncing option, so you will have to initiate everything in Service Toolz and manually enter payment information in both apps.
All Service Toolz notifications can be sent via email, but aggressive spam filters and other emails push your quote to the bottom of your customer's inbox before you can blink. Nothing is more instant and in-your-face than text messages. With this module, you can trigger immediate responses, bypass spam filters and get responses back immediately. Appointment reminders, arrival notifications and follow-up emails asking for reviews will all get more attention than any email communication. You can pick a local 'send-from' phone number from a list we'll provide, and the phone number and service charges are included in the monthly cost. Customer replies to the message will be sent to an anonymous phone number of your choosing.
You have an inventory. That means you probably have a headache, too. Service Toolz can help cure that headache with our intuitive inventory module. You set stock and par-levels, and when a quote is accepted, or a line item in a work-order is completed, those levels will be automatically adjusted accordingly. An Order Queue will watch those levels, and automatically add needed products to a "shopping list" that you can process in one... or as many clicks as you need. "Ordered", "received" and "staged" statuses help you see what's happening in real-time, and each technician assigned to a project schedule for the day can utilize a dynamic "staging list" to ensure the van rolling out to the job has the required products in it and that nobody has double-loaded a product.
Customers are the basis... and sometimes the bane... of our existence. Everyone knows it. However, at Service Toolz, we understand that having empowered customers makes everyone happier. People, for the most part, have the wherewithal to solve problems on their own, and the only thing that stands in the way of that is a lack of information or communication. The Customer Portal module allows your customers to access their information without having to call you for it. They can get a history of quotes, work orders, schedules, technicians, and products installed in their project locations. Maybe there are links to product manuals... maybe they can pay their balance... It's still under a little construction, but we'd buy this module if it was us... Just saying.
Umm... sorry we mentioned sales tax. For those of you who know... you know. In short, we figure out sales tax based on customer location if necessary in your area. For a lot of us, we can just set a sales tax rate and use it for every project we quote. Others may not be so lucky...
In Colorado, where we're from, if you sell and deliver a product to a customer who lives in a town (which they all do), you need to charge sales tax on the products you sell to that customer based on the town that they live in. This means that a company selling the product needs to have a sales tax license and file sales tax for every town they deliver to. In the case of Colorado, each town has at least three different jurisdictions that need to be filed separately... every month!!! On top of it, there's now a separate $0.27 tax on each delivery that also needs to be accounted for and filed monthly.
[Take a moment to absorb that as a business owner. Oof!]
Even though Colorado has one of the most complicated sales tax situations on the planet, Service Toolz has a solution that, working with QuickBooks Online, can take this 40-hour/month daunting task and turn it into a 3-hour task. In "destination sales tax" states, this module requires a little set-up and maintenance, which we'll walk through with you, but is well worth the price tag.
Service Toolz offers discounts for those that want to pay annually or quarterly for the subscription. This is because it puts money in our pockets right away, and we all love that! If you make changes to your billing at any time during your cycle, you will be credited for the unused portion of the cycle and the new plan will take effect going forward.
